MANDATORY JOB REQUIREMENTS

  • Reviews new sales orders distributed by Project Co-ordinator & Aftersales Team Lead and ensures that all sign off is obtained prior to purchase order issue to suppliers.
  • Arranges kick off meetings where required. Gather all project information, schedules, data requests, assignments, tasks for project meeting. Collates minutes.
  • Requests and reviews master production schedule.
  • Liaises with manufacturer in a professional and clear manner weekly / bi-weekly to ensure that delivery schedule is retained or improved.
  • Liaise with customer to advise on job status by use of tracker or production schedules.
  • Liaise with Project Co-ordinator & Aftersales Team Lead once per week, to update on schedules and current workload.
  • Liaise with Finance Manager on job milestones once per week.
  • Where there are job delays or issues, discussed with Sales Person if escalation initially required. Should this not reach a suitable conclusion then escalation to Sales & Operations Director.
  • Request raw material certificates to be issued when raw material is receipted at plant. Ensure that this is passed to QA for review prior to shipment.
  • Discuss with Project Co-ordinator & Aftersales Team Lead to organise expediting visits with external providers and clients, keeping record of these costs and discussion with Sales & Operations Director to ensure we have covered costs.
  • Organise inspections at manufacturers works where required and included within job budget.
  • Organise final transport, MMT on job completion. Transport must be competitively sourced to suit the budget and timescale requirements. Should this be out with budget then escalation required prior to commitment.
  • Ensure all data relevant to any sales order is saved in L drive at the end of the week.

 

ROLE SUPPORT FUNCTIONS

  • Covers for Project Co-ordinator & Aftersales Team Lead handover during leave periods.
  • Assist Document Controller expediting where required.

QUALIFICATION & EXPERIENCE REQUIREMENTS

  • Secondary school education
  • Progressive experience in a similar environment.
  • Working knowledge of computers and software systems.
  • Strong interpersonal skills
